This Business & Group Licence Policy explains how group and business training licences work with Interic Ltd, trading as Food Safe Ireland ("Food Safe Ireland", "we", "us", "our"). It applies where an organisation, employer, manager or administrator ("the Manager") purchases training for a group of learners. It forms part of our Terms and Conditions.
A group licence is purchased as a number of seats. Each seat entitles one named learner to be enrolled in the relevant Course. Seats are purchased on the same basis as individual Courses and credits, and the price and any minimum quantities are shown at the point of purchase or in a quotation for larger groups.
An unassigned seat does not expire. A Manager may buy seats now and assign them as staff join, and the seats remain available in the Manager’s dashboard until they are used. Nothing starts running until a seat is assigned to a person — see section 4.
A seat is consumed when a learner is enrolled in a Course. Once enrolled, that seat is allocated to that learner and their training record.
The same person cannot hold two seats in the same group. This is what keeps the training record unambiguous, and it is why renewing a team is a new order rather than adding seats to the existing one.
We understand that staffing changes. Where a learner has been enrolled but has not started the Course (that is, there is no course progression and no assessment attempt), we will, on request and at our discretion, reassign that seat to a different learner. However, where a learner has begun the Course or attempted any assessment, a training record exists, and that seat cannot be reassigned, because the record must be retained. Reassignment requests are considered on a case-by-case basis.
The 12-month clock belongs to the learner, not to the licence. When a Manager assigns a seat to a member of staff, that learner has 12 months from the date of enrolment to complete the Course. Access to the Course content ends at the conclusion of that enrolment period unless it is renewed.
Two things this does not mean, because they are commonly assumed:
The Manager is given administrator access to manage enrolments and to view the progress and completion records of their group. This live dashboard access is provided for at least 5 years, so that the organisation can readily demonstrate its training and compliance history.
Separately from this dashboard access, we retain the underlying training and certification records for a much longer period — for the validity period of the certificate and for at least 7 years after it expires (at least 10 years from issue for certificates with no expiry date), and longer where necessary. We do this so that we can verify our own certificates and stand behind their integrity, and so that the records remain available for the establishment, exercise or defence of legal claims. This means that, even after a Manager's dashboard access has ended, we can still produce evidence of an individual's training and certification on request, including for verification, legal, insurance or discovery purposes. This is particularly important where a certificate may be relied upon as part of an employer's position in a workplace health and safety claim, which can arise and conclude several years after the training was completed. Employers should also keep their own copies of their staff's training records.

By enrolling a learner, the Manager confirms it has the authority described above. Each learner's access to and use of the Services is governed by our Terms and Conditions and the policies incorporated into them, whether or not the learner personally accepts them, and the Manager remains responsible for its learners' use of the Services.
When a Manager enrols learners and provides us with their personal data, the Manager is a separate data controller in respect of that data. The Manager is responsible for having a lawful basis to share their learners' personal data with us, for informing those learners how their data will be used, and for ensuring the data provided is accurate. We process that data as a service provider in order to deliver the training and maintain records, as described in our Privacy Policy and Data Protection (GDPR) Statement.
We are happy to deliver training to supervised minors through youth groups, schools and similar organisations, and we do so in a way that keeps the personal data we collect to a minimum:
Certificates for these learners are issued in the learner's name and provided to the Group Leader.
Group licence pricing is shown at the point of purchase or quoted directly for larger groups. Payment is taken through our payment providers, Stripe and PayPal, or by another method we agree in writing, in accordance with our Terms and Conditions. Any invoicing or purchase-order arrangements for larger orders will be agreed in advance.
Refunds for group licences follow our Refund Policy. In summary, an unused seat (where the learner has not started the Course) may be eligible for a refund or reassignment, while a used seat is non-refundable because a training record exists.
Larger organisations may purchase an Enterprise plan, which can include a white-labelled platform. Enterprise arrangements are governed by a separate written agreement between the organisation and us, which takes precedence over this Policy where they differ. Set-up and configuration fees for Enterprise plans are non-refundable.
We may update this Policy from time to time. Changes take effect when posted, and continued use of a group licence after that point constitutes acceptance of the revised Policy.
